Executive Assistant to the President/CEO
SALARY: $38,000-$44,600
OTHER: $250/month auto allowance
WORKWEEK: 37.5 Hours
STATUS: Full time, exempt
PTO: 20 days
PAID HOLIDAYS: 10 Annually

JOB RESPONSIBILITIES
- Assist the Chief Financial Officer with the process payables, receivables and deposits.
- Facilitate meeting preparation for the Board of Directors, Board of Trustees and Finance Committee includes development of agenda, meeting notices, meeting materials, room set up, A/V if required, and order food/beverage if needed.
- Take minutes for Board of Directors, Board of Trustees and Finance Committee.
- Coordinate staff activities as needed such as weekly staff meetings, retreats and outings.
- Act as personal assistant to the President/CEO. Maintain the calendar and setting appointments/invites.
- Assist the Finance Resource Officer with the annual audit preparation.
- Generate Quick Books/Chambermaster reports as needed.
- Generate event/sponsorship invoices, new-member, monthly membership renewals and 30/60/90.
- Assist the Finance Resource Officer with collecting/investigating outstanding receipts for purchases.
- Coordinate with IT and office equipment contractors.
- Provides general secretarial administrative support to executive staff.
- Maintain the Chambermaster database and conduct weekly mass update including approve events, job postings, hot deals and member updates.
- Open, date/stamp and distribute incoming mail.
- Provide and sell certificates of origin.
- Procure and maintain all office supplies and equipment.
- Conduct weekly INDOC presentation to Navy, Marine, Coast Guard and Allied.International Pilots.
- Conduct Welcome Family presentation upon request from the Fleet and Family Support Center.
- Create winging certificates for graduating Navy, Marine, Coast Guard and Allied International Pilots and deliver to point of contact at NAS/CC.
SKILLS/QUALIFICATIONS NEEDED
- One year of experience in an administrative role reporting directly to upper management.
- Excellent written and verbal communication skills.
- Strong time-management skills and an ability to organize and coordinate multiple concurrent projects.
- Proficiency with office productivity tools and an aptitude for learning new software and systems.
- Flexible team player, willing to adapt to changes and unafraid of challenges.
- Ability to maintain confidentiality of information related to the company and its employees.
- Customer service mindset.
- A passion for innovation, emerging technologies, and entrepreneurship.
- Strong skills in writing, editing, research, and organization.
- Solid knowledge of Microsoft Office and Excel.
- Excellent attention to detail, ability to multitask, and maintain professional conduct.
- Social media knowledge (Facebook, Instagram, Twitter, LinkedIn).
WORKING CONDITIONS
- Must have a valid Driver’s License and/or reliable transportation and insurance.
- Standing, walking, and lifting to 30 lbs.
- Occasional work during non-standard businesses hours for events.
- This position will be at the Chamber office but will include various event venues.
